Online application records are stored in an encrypted private database. Uploaded documents are stored separately in encrypted private file storage. Information is encrypted while being transmitted and while stored by our service providers.

The staff dashboard is a protected viewing interface, not a ChatGPT conversation. Access requires ChatGPT sign-in and an email address specifically approved by IIC. Authorization is checked on the server before application information or documents are provided. Email notifications do not include applicant records or uploaded documents.

IIC also uses reasonable administrative safeguards, including limiting dashboard access to authorized staff. However, no online system or transmission can be guaranteed to be 100% secure.

IIC retains application records, uploaded documents, and related communications only for as long as reasonably needed to evaluate credentials, provide requested services, maintain necessary business records, and meet legal or operational obligations. When information is no longer needed, IIC may securely delete or anonymize it, subject to applicable requirements.

You may request access to your data, request corrections or deletion, opt out of marketing communications, or withdraw your consent where applicable.
